about the role

We are looking for a warm, proactive, and highly organized Office Operations Associate to support our New York team part-time. You’ll be the driving force of our Grand Street office in SoHo, Manhattan, ensuring that everything runs smoothly behind the scenes while creating a warm and professional environment for guests, partners, and team members alike.

The School for Moral Ambitions has their office in a shared office space hosted by Galaxy Gives. This role is not only responsible for the SMA space, but the general office environment that is shared with other high impact organizations.

Key responsibilities

General responsibilities

  • Serving as a first point of contact for all office members for all office admin-related topics
  • Office-space onboarding of any new members
  • Managing access card inventory & issuing new access cards
  • Administrating office Whatsapp
  • Resolving conference room bookings
  • Managing office supplies and snacks
  • Coordinating group-order in-office lunch 2x weekly

Responsibilities for The School for Moral Ambition specifically

  • Help coordinate meetings, travel, and team schedules.
  • Assist with logistics, onsite management, and hosting for in-person events, workshops, productions, plus fellow and funder gatherings.

Other projects and tasks will include for instance creating office norms, such as:

  • rules for communal living
  • conference room booking system
  • usage notices & warnings
  • collective lunch orders (better deals).

Lastly, we want to build a welcoming, productive, functional, and value-additive co-working space for high-impact NGOs / PBCs. This role will involve helping to come up with ideas around office revenue models, such as:

  • Daily-, weekly-, or monthly access passes
  • Monetizing — including discretely or privately — event space usage.

What We’re looking for

  • 1-3 years of experience in operations, office management, admin, hospitality, or related fields.
  • A warm, people-first mindset, you enjoy making guests & team members feel welcome.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and spoken.
  • Tech-savvy: Comfortable with tools like Google Workspace, Asana, and Notion.
  • Ability to work independently and problem-solve in a fast-paced environment.
  • Passion for social impact, mission-driven work, and creating a collaborative workspace.
